Executive Legal Assistant/Office Manager

Our boutique estate and legacy planning law firm has an immediate opening for an Executive Legal Assistant/Office Manager to join our growing practice. This is a vital role in which the successful candidate will work very closely with the owner of the Firm. You will be in charge of running the entire law firm on a daily basis. If you have a professional and strong work ethic, with an extreme and relentless attention to detail, and can thrive in a fast-paced environment, you are exactly who we are looking for!

The ideal candidate is self-motivated, has a strong personality, is good with clients, very detail oriented, and can complete tasks without being micromanaged. Previous law firm experience is required and familiarity with modern approaches and technology are essential. We are a MAC office and use Google Applications, Dropbox, and MyCase. Prior experience using these tools highly preferred. We are willing to train the right person.

Principal Responsibilities include but are not limited to the following:

  • Answer and screen telephone calls

  • Respond to potential clients via phone, email, and chat within our online booking system

  • Follow up with potential new clients and book consultations

  • Assist in preparation and follow-up of client meetings

  • Provide “white glove” customer service to our clients from point of contact through the closing of cases

  • Obtain client feedback and testimonials

  • Generate and manage client invoices and payments

  • Create, maintain and organize physical and electronic client files

  • Develop and maintain standard operating policies and procedures

  • Act as liaison between the Owner and other Firm team members

Qualifications and Skills

  • Strong written and verbal communication, interpersonal, and customer-service skills.

  • Ability to work accurately, with interruptions.

  • Good organizational, time management and problem-solving skills.

  • Ability to work well independently but more importantly as part of a team.

  • Ability to exercise flexibility, initiative, good judgment and discretion.

  • Ability to multitask in a fast paced environment.

  • Must be very positive and confident.

  • Prior law firm work experience preferred.

  • Must be able to pass a background check.

  • Highly proficient in MS Word (including formatting and other tools), Excel, cloud-based filing (Dropbox and Google Drive), and email functions

  • Strong grammar, spelling and math skills

  • Strong proofreading skills on paper as well as MS Office

  • Comfortable working with a MAC computer

Compensation:

Initial compensation will be based upon prior experience. Raises will be based on job performance. The position is full-time and offers periodic bonus opportunities, paid holidays, paid time off and health insurance.
